You send a quote. The customer swears it never arrived. It’s in their junk folder — again. Here’s why business emails go to spam, and the fix that actually works.

The usual suspect: free cPanel email

Standard hosting email sends from your server’s shared IP address — shared with every other site on that server. One spammer on the same machine and the IP lands on blacklists, taking your perfectly innocent emails with it. This is why “free email with hosting” is worth exactly what it costs.

The authentication trio

Modern inboxes check three DNS records before trusting your mail: SPF (who may send for your domain), DKIM (a tamper-proof signature), and DMARC (what to do when the first two fail). Gmail and Outlook now effectively require them. Miss one and you’re guilty until proven innocent.

The fix, in order of budget

  • Free: forward your @yourbusiness address to Gmail/Outlook and reply through an alias — fine for starting out.

Don’t forget the emails your website sends
